Preparing the supplier request
Separate mandatory product parameters from acceptable alternatives. For fast-moving consumer goods, exact product, packaging, quantity, shelf-life requirements and labelling may all be important.
If alternatives are acceptable, define the permitted scope of substitution in advance. This makes proposals faster to obtain and easier to compare.
What to check before agreeing the deal
A proposal is assessed on more than price. The supplier, authority of the contact person, origin of the goods, available documents and lawful feasibility of the route all need consideration.

- payment terms and transfer of risk;
- labelling, certification and transport requirements;
- restrictions connected with the goods, parties and destination.
Plan payment and logistics together
Delivery terms affect transport costs, documents and responsibility. The payment arrangement should also match the contract and the actual movement of goods.
Before payment, establish who collects the cargo, where handover takes place, what documents the supplier provides and who is responsible at each stage of the route.

For an initial review, provide the product description, quantity, weight and dimensions, details of an existing supplier if available, the destination country and any special document or transport requirements.
